++++ Email Tips

I want to share some e-mail tips in this issue. I have to shy away from some terms as they prevent this newsletter from being sent as e-mail. For example, I have to use junk mail and bad guys instead of the terms associated with the canned meat.

No matter what we do to prevent the junk, it still gets through. I use several email accounts to try to avoid large numbers and I can turn off these accounts at any time. I also use Gmail, a free Google service that does a great job of filtering out the bad guys.

++++ Tip 1 Create a sub-account as your default account

My ISP, RoadRunner, gives 4 additional e-mail accounts and some give even more. I recommend using at least 1 and make it your default account. Do not use your owner's account, as it cannot be changed. If you get too many junk emails in a sub-account, you can delete it and create a new account.

++++ Tip 2 Use at least 1 general account at Gmail, Yahoo, etc.

Create an e-mail account at Gmail (Google), Yahoo, NetZero, Hotmail or any of the other free e-mail sites. I have had bad luck with Hotmail, but many of my friends have had mixed results with each of them. I like NetZero, which includes their privatephone, which I mentioned last month.

My favorite is Gmail, as it has a lot of storage, almost 3 gigabytes, and has really good filters to separate the good from the bad. Gmail offers free POP access. POP, or Post Office Protocol, lets you download messages from Gmail's servers onto your computer so you can access your mail with a program like Microsoft Outlook Express.

++++ Tip 3 Use your E-Mail program to read several POP accounts

I use Microsoft's Outlook, which is part of Microsoft Office, but many of you Windows readers use Outlook Express, which came free with the operating system. If you use Linux or a MAC, you will need to check your e-mail reader's help file to set up POP accounts, it should be similar to setting up OE.

To set up Outlook Express, select Accounts from the Tools menu. Click the Add button in the upper right hand corner and then select Mail. When the Internet Connection Wizard window displays, enter the Display name and then click the Next button.

Enter the e-mail address of the new account in the format such as username@cfl.rr.com. Click the Next button to continue.

In the E-mail Server Names window, enter the address for the incoming POP server as pop-server.cfl.rr.com and outgoing SMTP server as smtp-server.cfl.rr.com, if you use the Orlando area RoadRunner. If you use some other server, check with that company as to what will be needed for the POP3 and SMTP Server names. Every company differs.

Click the Next button when finished. In the Internet Mail Logon window, verify that the displayed POP account name is correct (edit if necessary) and enter the Password for this account. If you do not enter a password, you will be prompted to enter one when you send/retrieve mail from this mail account.

Click the Next button when finished. In the Friendly Name window, enter a name for this account so that you can easily recognize it from a listing of all accounts.

Click the Next button when finished. In the Choose Connection Type window, verify that Connect using my local area network (LAN) is specified and then click the Next button to continue.

Click the Finish button in the final window to complete. You can modify the settings for this (or any other) account from the Internet Accounts window by highlighting the mail account and selecting the Properties tab. You can add more accounts. Gmail POP accounts do require that you go back to the list, click properties and go to the advanced tab. There you will have to change the port settings. The directions are very clear at Gmail.

++++ Tip 4 Selecting an Account

Outlook makes it a bit easier, but you can select from which account you wish to send an email. In OE, click on Create Mail. In the blank email message go to view and click All Headers. You will be able to specify which account to send from from a drop down list at the top of the message. When replying to a message, the email will automatically respond from the same account that it was received, but you can change that using the same drop down header. In Outlook, click the Accounts button if you wish to change the account from either the default or from the receiving account.

There are rules that you can use to separate the messages in many different ways. I just have all of the new messages go to my in-box. By the way, I have over 30 email accounts that I receive in my Outlook. I don't really care which account receives them, except when I forward a message. Then I may want them to come from a different account and make the appropriate change.

Email programs are very powerful and you should examine the many ways in which you can control your messages. Don't let you're your email get out of hand. Organize and control it.
