E-mail is the most used service of the Internet. It is also the most abused. What is a wonderful way to communicate with our friends, our
families, and our business interests. I will not go into my major annoyance with e-mail, that of the junk e-mailers and the scammers. They undermine such a great medium.
My focus here are my annoyances with some of you or your acquaintances who just need to understand some simple good practices that will
help those who receive your correspondences.
A few years ago I wrote about a problem that still exists extensively. Too many times I receive e-mails that are sent to a large group of
recipients. While many are jokes, many contain useful information. However, the entire list of recipients is exposed in either the "To" or the "CC" line. Sometimes the messages are forwarded messages that include
similar lines of recipients from other senders. Now my name and e-mail address has been made available with several people's entire mailing lists.
There is a simple fix to this and it's just good etiquette. You should send the email to yourself and instead of using "CC", use the "BCC"
line. Those of us who remember typewriters and carbon paper, know the original designations as carbon copy and blind carbon copy. The addresses listed as BCC are hidden to all recipients. If you use AOL mail, or the
BCC line doesn't show for addresses, check the help section of your email program as to how to use the BCC designation. If one isn't available, I would seriously consider finding a different email program.
There is one more line in the title of a message that is so important. The "Subject" needs to be filled in and should be short, but
descriptive. When you respond to a message, keep the subject. However, if you are changing the topic, change the subject. Most email program can sort by the subject to keep them together to follow a topic. For this
reason, limit the message to the one topic. Create a second message if you have a different topic.
Finally, clean up your emails. If you forward a message, or if you forward a forwarded message, clean up the arrows and remove the headings
from previous senders. Remove any tags or ads accumulated by using mail services like Yahoo or Gmail. Remove any of the signatures of previous senders. In other words, take the time to send a clean email or don't
send it at all.
